BOD Descriptions

The Executive Committee shall:

Be responsible for the execution of the provisions of the Constitution and By-Laws;
Be the Custodian of all assets and properties of the Association;
Enter into all contracts and obligations in the name of the Association;
Appoint as necessary Officials and Committees to report to the Executive Committee on matters of importance to the Executive Committee;
Receive and vote upon reports and recommendations including the financial report, all information concerning sources and uses of all income, operations, and marketing and communication activities;
Recommend to the membership, amendments to the by-laws of the Association.

               

President/Chair of the Board

Reports to: Board of Directors

Term: As defined by the association’s bylaws

The President and Chair of the Board is the principal leader of the hockey association and is responsible for overseeing the organization’s strategic direction, governance, and operations. This role ensures that the association adheres to its mission, promotes player development, and fosters a positive hockey community.

Key Responsibilities:

Provide leadership and direction to the Board of Directors, ensuring effective governance and compliance with bylaws, policies, and applicable regulations.
Preside over Board Meetings and Member Meetings, setting agendas and ensuring productive discussions and decision-making.
Act as a liaison between the Board, association members, league officials, and external stakeholders.
Ensure transparency and accountability in association operations and decision-making.

 

Operational Oversight:

Work with the Board and committees to establish and execute strategic goals and initiatives for the association.
Oversee the financial health of the association, including budget approval, fundraising initiatives, and financial reporting.
Ensure proper policies and procedures are in place for player safety, discipline, and compliance with governing hockey bodies.
Support recruitment, retention, and development of volunteers, coaches, and officials.

Community & Stakeholder Engagement: Foster relationships with sponsors, donors, and local businesses to support the association’s growth and sustainability.

Conflict Resolution & Decision-Making: Address and resolve disputes, disciplinary matters, and complaints in a fair and consistent manner.

Sign, along with the Secretary, all constitutional documents and amendments. 


Vice-President:

The Vice President (VP) of the SHEO plays a key leadership role in ensuring the smooth operation and success of the association. The VP supports the President, oversees assigned committees and operational areas, and steps in when the President is unavailable. This position requires strong organizational, leadership, and communication skills to foster a positive and well-functioning hockey environment.

Key Responsibilities:

Act as a senior leader within the Board of Directors, helping to set strategic direction and uphold the association's mission and values.
Assist in developing and enforcing policies, bylaws, and procedures.
Provide Operational Support:  Work closely with the President to manage day-to-day operations and long-term planning. Provide guidance and oversight to designated committees (e.g., Discipline, Fundraising, Sponsorship, Events, etc.).
Ensure compliance with league regulations, governing body policies, and safety standards.
Player, Parent & Volunteer Relations: Serve as a liaison between the Board and stakeholders, including parents, coaches, players, and volunteers.
Assist in conflict resolution, ensuring fair and timely responses to concerns.
Promote a culture of respect, sportsmanship, and inclusivity within the association.
Monitor and assess the effectiveness of operational programs and make recommendations for improvement.
Mentor future leaders within the association to ensure sustainable growth and continuity.
Support volunteer recruitment and retention strategies.

Financial & Administrative Oversight:

Support budget planning and financial decision-making in collaboration with the Director of Finance and President.
Assist in securing sponsorships, fundraising initiatives, and community partnerships.

Secretary:

The Secretary is responsible for ensuring the efficient administration of the Board of Directors, maintaining accurate records, and managing communications. This role is essential in supporting board operations, ensuring compliance with governance policies, and maintaining effective communication among board members and stakeholders.

Key Responsibilities:

Record and maintain accurate minutes of board meetings and distribute them in a timely manner.
Maintain official records, including bylaws, policies, and meeting documents.
Ensure compliance with governance requirements and regulations.
Coordinate board meeting logistics, including scheduling, agendas, and notifications.
Serve as the primary contact for board communications and correspondence.
Maintain and update contact lists for board members and key stakeholders.
Maintain a current membership list
Assist in the preparation and distribution of reports and documentation.
Support the board in maintaining transparency and accessibility of information.

Be the custodian of all documents belonging to the Association (except the books of financial accounts), and deliver up the use of the properties of the Association only when authorized by the Executive Committee to do so
Perform other duties as may be assigned from time to time by the President, or the Executive Committee.

 

Director of Finance

The Director of Finance/Treasurer is responsible for overseeing the financial management of [Hockey Association Name], ensuring fiscal responsibility and transparency. This role involves maintaining financial records, preparing budgets, managing financial reporting, and ensuring compliance with financial regulations and policies. The Treasurer will work closely with the Board of Directors to provide financial guidance and support the long-term financial sustainability of the organization.

Key Responsibilities:

Oversee the financial management of the association, including budgeting, financial planning, and cash flow management.
Maintain accurate financial records and ensure proper bookkeeping procedures.
Prepare and present financial reports to the Board of Directors.
Ensure compliance with financial policies, tax regulations, and reporting requirements.
Manage accounts payable, receivable, and payroll functions as necessary.
Oversee fundraising and sponsorship financial tracking.
Work with external auditors or accountants to facilitate financial reviews and audits.
Provide financial recommendations to the board to ensure the sustainability and growth of the organization.
Perform other duties as may be assigned from time to time by the President, or the Executive Committee

 

Director, Risk and Safety

Position Overview: The Director, Risk and Safety is a key leadership role within the Corporation, responsible for developing and implementing strategies to ensure the safety and well-being of all participants in both on-ice and off-ice activities. This position ensures compliance with all relevant bylaws, codes of conduct, and regulations while providing expert advice to the Executive on matters of risk management and safety.

Key Responsibilities:

Risk Mitigation Strategy: Develop and implement strategies to mitigate risks associated with on-ice and other activities organized by the Corporation.
Regulatory Compliance: Ensure the Corporation is compliant with risk and safety requirements as outlined in its bylaws, codes of conduct, and the regulations of SHEO, Hockey Eastern Ontario (HEO), and Hockey Canada.
Executive Advisory: Provide expert advice to the Executive Committee on all matters related to risk and safety.
Develop, review, and update policies related to Safe Sport Practices to ensure alignment with best practices and regulatory standards.
Provide leadership and guidance to Coaches and Hockey Trainers regarding safety protocols and ensure all required safety training is up to date.
Assist with the procurement and verification of Police Record Checks (VSC-III) for all individuals required to obtain them.
Third-Party Investigations: Act as a liaison with Hockey Canada when a third-party investigation is required under Hockey Canada Policy.
Perform other duties as assigned by the President or Executive Committee to support the organization's risk and safety objectives.

Director, Marketing and Community Engagement:

The Director of Marketing and Community Engagement is responsible for developing and executing marketing strategies to enhance the visibility, reputation, and growth of SHEO. This role focuses on promoting association programs, increasing community engagement, and building partnerships to support the association’s mission and long-term sustainability. The Director will work closely with other board members, volunteers, and key stakeholders to foster a strong and positive presence within the community.

Key Responsibilities:

Develop and implement marketing strategies to promote the association’s programs, events, and initiatives.
Manage social media accounts, website content, and email communications to engage members and the community.
Create and oversee digital and print marketing materials, ensuring consistent branding and messaging.
Coordinate with local media outlets to generate coverage of association activities.
Develop sponsorship and partnership opportunities with local businesses and organizations.
Organize and execute community outreach initiatives, including fundraising events and volunteer activities.
Act as a liaison between the association and the community, fostering relationships with stakeholders.
Assist in member recruitment and retention efforts through targeted marketing and engagement initiatives.
Collaborate with other board members to align marketing and engagement efforts with the association’s strategic goals.
Assist with securing external funding sources such as grants and sponsorships

Director of Junior Development Program

The Junior/Development Program Director is responsible for providing strategic leadership, oversight, and direction for the association’s junior and development hockey programs. This role ensures that programs align with the association’s mission, promote player development, and foster a positive and inclusive hockey environment.

Key Responsibilities:

Program Strategy & Development

Develop and oversee the strategic direction of the junior and development hockey programs.
Ensure age-appropriate skill development and training plans are in place.
Work with coaches and trainers to implement best practices in player development.
Provide leadership to coaches, trainers, and program staff.
Establish policies and procedures that align with Hockey Canada or other governing body guidelines.
Work closely with the Board to align development programs with the association’s overall objectives.
Work with the Board to secure funding or sponsorships for development initiatives.
Perform other duties as may be assigned from time to time by the President, or the Executive Committee

Scheduling & Logistics Oversight

Work with the Ice Scheduler to allocate ice time for development programs.
Oversee the organization of tryouts, practices, and development sessions.
Ensure proper safety and risk management protocols are followed.
Assist in organizing tournaments, special events, and additional training opportunities.

Communication & Stakeholder Engagement

Act as the primary liaison between players, parents, coaches, and the board to ensure transparency.
Provide regular updates on program activities, changes, and improvements.
Address concerns or feedback from participants and families.

Director of Intermediate Program (including securing a coordinator for House League)

The Director of Intermediate Programming is responsible for overseeing and enhancing the development of intermediate-level hockey programs within the association. This role ensures that players at this level receive appropriate skill development, competition, and coaching support to progress in their hockey journey. The Director works closely with coaches, volunteers, and other board members to create a structured and positive experience for players and families.

Key Responsibilities

Program Development & Implementation:

Develop, implement, and oversee all aspects of the intermediate hockey programs, including team structures, practice plans, and game schedules.
Ensure programs align with the association’s mission, vision, and player development pathway.
Policy Compliance & Governance:  Ensure compliance with association policies, league regulations, and safety protocols.
Work with the disciplinary committee as needed to handle any disputes, conduct concerns, or appeals
Perform other duties as may be assigned from time to time by the President, or the Executive Committee

Coaching & Player Development:

Recruit, mentor, and support coaches to ensure quality instruction and adherence to association and Hockey Canada (or relevant governing body) standards.
Organize development sessions, and resources to improve coaching effectiveness.
Establish player evaluation and progression systems to track individual and team development.

Operations & Logistics:

Collaborate with ice schedulers to coordinate practice and game schedules.
Work with team managers to ensure proper team administration, communication, and adherence to policies.
Assist in organizing tournaments, special events, and additional training opportunities.
Appoint a Coordinator for House League Program

Stakeholder Communication & Engagement:

Act as the primary point of contact for coaches, parents, and players regarding intermediate programming concerns.
Attend board meetings and provide updates on program progress, challenges, and recommendations.
Address concerns and conflicts professionally, ensuring positive outcomes for all involved.

 

Director at Large

The Director at Large is a member of the Board of Directors and plays an important role in the strategic leadership and governance of SHEO. This position provides input and oversight on key initiatives and policies, ensuring the association fulfills its mission to promote and develop hockey within the community.

Key Responsibilities

Attend and actively participate in board meetings, committee meetings, and association events.
Assist in setting the strategic direction and policies of the association.
Provide guidance and support to the executive board and other directors as needed.
Participate in decision-making processes, bringing an independent and broad perspective to discussions.
Serve as a liaison between the board and stakeholders, including parents, coaches, and players.
Support fundraising, sponsorship, and community engagement initiatives.
Help ensure compliance with the association’s bylaws, policies, and relevant governing bodies (e.g., Hockey Canada, provincial/regional hockey organizations).
Promote a culture of respect, sportsmanship, and inclusivity within the hockey community.
Take on special projects or responsibilities as assigned by the Board of Directors.

Qualifications

Passion for hockey and the development of the sport at the grassroots level.
Prior experience in sports administration, governance, or community leadership is an asset.
Strong communication, collaboration, and decision-making skills.
Ability to work effectively as part of a team.
Commitment to upholding the values and mission of the association.
